A guide for owners

Hotel management: monitoring operations and the business

A hotel needs to sell rooms, deliver its service promise and control its resources. This guide brings together questions that help owners assess management without getting lost in daily activity.

What hotel management involves

Management coordinates teams, processes and the information needed to make decisions. It covers reception, housekeeping, maintenance, purchasing and commercial activity, alongside the control of income and expenses.

Occupancy is only part of the picture. A hotel can sell more rooms and retain less margin if discounts, commissions or costs increase. Review sales volume, room rates and the resources required to deliver service together.

Indicators to review

  • Occupancy: the proportion of available rooms sold.
  • Average daily rate: room revenue divided by rooms sold.
  • Revenue per available room: helps assess occupancy and room rates together.
  • Operating costs: staffing, purchasing, energy, maintenance and other expenses, compared with budget and activity.
  • Channels and commissions: sales generated by each channel and the cost of obtaining them.
  • Guest experience: feedback, recurring complaints and follow-up on their resolution.

Comparisons should account for seasonality, property type and operational changes. There is no single target that works for every hotel.

Questions to ask about reports

Do the data explain what changed?

A report should explain differences against budget and a comparable period: what happened, why and which decision is needed. Figures without context can hide a problem or exaggerate an improvement.

Are responsibilities and follow-up clear?

For each priority, identify who is responsible, the action agreed and how progress will be verified. This turns discussions with the operator into follow-up on decisions.

Are maintenance and investment distinguished?

Addressing a recurring failure and transforming a property's offering are different decisions. Reviewing the cause, urgency and impact helps prioritize resources.
